The Text That Ruins Everything
It's 4:47 PM on Saturday. You're prepping for the dinner rush. Your phone buzzes.
"Hey, can't make it tonight. Sorry."
Your stomach drops. That's your best server. The one you scheduled specifically for the busy section. The one who handles the difficult tables without breaking a sweat.
Now what?
Step 1: Take a Breath (Seriously)
Before you spiral, take ten seconds. You've been here before. You'll get through it again.
Panicking wastes time you don't have. The faster you move with a clear head, the faster this gets solved.
Step 2: Assess the Damage
Ask yourself three questions:
How critical is this shift? A Tuesday lunch is different from Saturday dinner. Know what you're dealing with.
What role needs covering? Server, host, line cook? Different roles have different urgency levels.
What's your backup depth? Do you have anyone trained who might be available?
Don't skip this step. Knowing exactly what you need saves you from calling the wrong people.
Step 3: Check Your Availability List
Every restaurant should have one of these. If you don't, make one after this crisis passes.
A good availability list tells you:
- Who's off today but marked themselves as available for extra shifts - Who's qualified for this specific role - Who actually answers their phone
Sort by reliability. Call your best prospects first.
Step 4: Make the Calls
Here's where most managers lose hours.
The traditional approach: scroll through contacts, call someone, leave a voicemail, wait. Call the next person. Leave another voicemail. Wait. Send a group text that nobody responds to. Call again.
Two hours later, you're still at it. The shift starts in thirty minutes.
The better approach: Start calling immediately and don't stop until you get a yes. Leave a voicemail AND send a text. Move to the next person while you wait. Don't let hope slow you down.
Even better: let someone else make the calls for you.
Step 5: Confirm and Document
When someone says yes, confirm the details:
- What time they need to arrive - What section or role they're covering - Any special requirements for the shift
Then document what happened. Which employee called out? Who covered? This data helps you spot patterns. If the same person calls out every Saturday, that's information you need.
There's a Faster Way
Here's the thing about all these steps: they work. Managers have been doing this for decades.
But should you really spend your Saturday afternoon on the phone instead of running your restaurant?
What if you could tap one button, and an AI made all those calls for you? Called your available staff, explained the shift, confirmed coverage, and texted you when it was done?
That's what we built Covr4me to do.
One tap. Shift covered. You stay focused on what matters.
